The Best Client Reporting Tools for Agencies (2026)

Published Updated

The best client reporting tools for agencies, sorted by the job they do: dashboards, white-label builders, client platforms and assemble-and-deliver tools.

For an agency owner whose data is already connected and whose month ends in report assembly, the shortlist of client reporting tools is Viktor for the assemble-and-deliver layer, AgencyAnalytics for connector-and-dashboard work, Swydo for white-label report building, Fathom for accounting and advisory firms, and Looker Studio as the free option. Pricing checked October 2026; every figure is quoted as the vendor states it.

The decision is a hire-versus-software one. The nearest public salary proxy for a reporting analyst is the BLS May 2025 median of $78,760 a year for market research analysts, before benefits and before the hours an owner spends reviewing the work. The question for each tool below is what it takes off that person’s plate at month end, and what it hands back.

What matters in a client reporting tool when the data is already connected

Twelve client accounts across Meta Ads and Google Ads mean twelve branded reports every month, and the connectors were the easy part. The criteria that shorten month-end sit downstream of the data:

  • White-label branding: Your logo, colors, domain and sender address should appear on the deliverable without an add-on; Databox sells white-label as a $200/month add-on billed annually.
  • Native connectors: The tool should pull Meta Ads, GA4 and Shopify data directly rather than through a spreadsheet; AgencyAnalytics lists 85+ integrations.
  • Automated scheduling: The tool should send the report on schedule without a person pressing send; Whatagraph lets a scheduled report go out without review.
  • Client portals and permissions: A client should be able to log in and see only their own numbers; AgencyAnalytics sets Client Access per user.
  • Per-client versus per-seat pricing: Pricing should track client count; Power BI Pro bills per user per month.
  • Cross-client rollups: Staff should see every account in one view; Swydo’s Metrics Overview covers selected clients and up to 6 KPIs.

A seventh criterion, who writes the commentary and presses send, is where dashboard tools stop and the hire decision begins.

Which type of reporting tool fits your problem

Four different jobs get sold under the label “client reporting tool”:

  • Connector-and-dashboard platforms: AgencyAnalytics and Databox pull numbers through native connectors into live dashboards and scheduled snapshots. Whatagraph does the same. They solve collection and visibility. Interactive dashboards are only as real-time as the last sync: Databox syncs hourly on paid plans and daily on Free. A person still opens each client’s report, writes what happened and sends it.
  • White-label report builders: Swydo and DashThis put your brand on the PDF and the shared dashboard URL. They solve presentation. The per-client narrative stays manual.
  • Project-and-client platforms with reporting bolted on: Productive and Teamwork.com report on hours and budgets. ClickUp also reports on tasks. Productive’s Pulse sends scheduled PDFs but sending requires Ultimate. None of the three documents a native GA4, Google Ads or Meta Ads connector feeding client-facing reports.
  • The assemble-and-deliver layer: Viktor takes the connected data and writes the narrative. He then builds the PDF with charts and delivers it on a schedule. This is the job description of the analyst hire.

If the pain is “I can’t see the numbers,” buy from the first two groups. If the numbers are visible and someone still spends early each month turning them into twelve reports, the fourth group is the one that moves margin.

The best client reporting tools by job

The standout per segment: Viktor for assembly and delivery, AgencyAnalytics for connectors and dashboards, Swydo for white-label output, Fathom for financial reporting, and Looker Studio when free has to be enough.

Best connector-and-dashboard platform: AgencyAnalytics

AgencyAnalytics lists $20 USD per client per month billed annually (20% off the $25 monthly rate) with unlimited staff accounts, reports and dashboards included. The white-labeled client portal, custom permissions and API access come with it. The trial runs 14 days with no card, and roll-up reports cover up to 50 Clients each. Pricing checked October 2026.

AgencyAnalytics fits poorly for agencies that want self-serve database access: database connectors such as BigQuery or MySQL require contacting Sales. The pricing page lists Custom Domain and Custom Email as included in all features, while the white-label feature page says a branded domain and per-client branding come on select plans; neither page names the qualifying tier.

A person still writes each client’s analysis and sends the report.

Best white-label report builder: Swydo

Swydo charges by data source and includes unlimited clients, users, dashboards and reports. Swydo lists a flat fee of $69/month including 10 data sources, excluding VAT, with EUR pricing in EU countries. The trial is 14 days with no credit card. Pricing checked October 2026.

Swydo attaches branded PDFs with a cover page to scheduled emails on daily or weekly schedules. Monthly delivery is also available. Reports can go from the agency’s own domain, and dashboards publish on a custom domain via CNAME.

E-commerce agencies that rely on Shopify need another option: Swydo placed that integration in maintenance mode on August 1, 2025, keeping existing connections as-is. Swydo suggests GA4, Klaviyo or Google Sheets instead. Agencies that require individual client user accounts also need another option, because the client portal is a single shareable link, optionally password-protected, and separate client logins are not documented.

A Contributor can be limited to assigned clients, but Swydo’s documentation does not describe automated per-client commentary, so a person writes it before each send.

Best for accounting and advisory firms: Fathom

Fathom prices Pro by company count, from $59/month for one company to $450/month with 25 companies included plus $17 per extra company, and Fathom Portfolio at $67/month with 100 companies included. Fathom bills monthly only; an annual contract is billed monthly but locks the price for 12 months, and the 14-day trial is fully functional with no billing information. Pricing checked October 2026. It connects to QuickBooks, Xero and other ledgers.

It’s wrong for marketing agencies, since the integrations list contains no ad platform, and for firms that need the vendor’s name removed: Fathom’s features page describes branded cover pages and reports but does not use the term white-label.

Pro is the only plan with consolidation, at no extra cost, and it can schedule draft or published reports from templates. A partner still writes the variance commentary the advisory client is paying for.

Best free and lightweight option: Looker Studio

Looker Studio (now Data Studio) costs nothing for creators and viewers on the free version; Data Studio Pro is $9 per user per project per month, with a 30-day trial that converts to automatic billing. Pricing checked October 2026. Free covers Google-built connectors for Google Sheets, Google Ads and Google Analytics.

Without Pro, a report gets one schedule, once per day. Embedded reports always carry the Data Studio watermark, and a report shared with specific people requires viewers to sign in to a Google account.

It’s wrong for agencies that need white-label output or client logins. Google’s documentation does not describe custom domains, client portals or a white-label mode. Meta Ads arrives through partner or community connectors such as Supermetrics or Porter Metrics, which has a limited free-forever plan.

Someone still builds each client’s report, keeps the partner connector paid up and writes the covering email, since the free tier has no custom subject or message.

Best assemble-and-deliver layer: Viktor

Assembling and delivering a recurring client report is a different job from building a BI dashboard. A dashboard shows the numbers to whoever logs in. The month-end report takes those numbers, explains what changed, puts the agency’s brand on it and reaches the client on schedule.

Viktor is the AI employee that lives in Slack and Microsoft Teams, connects to 3,200+ tools, most through one-click OAuth, and does the work. Set once as a Task, a month-end run works like this:

  1. Input: Viktor pulls spend, ROAS and conversions for each client account from Meta Ads and Google Ads, and pipeline from HubSpot for clients who buy leads.
  2. Transformation: he compares each account with last month and plan, writes the variance commentary, and lays it out as a PDF with charts.
  3. Output: he posts each finished PDF in Slack and asks for approval before any external email leaves.

Pricing is usage-based per workspace with no per-seat fee, and a new workspace starts with up to $100 in free credits and no card. Against a reporting hire, that is the operating-model difference: an analyst’s fully loaded salary and review time are fixed before the twelfth client signs, while usage scales with the reports that run.

Viktor fits poorly for a team that wants to design dashboard layouts on a BI canvas, or that needs an off-the-shelf portal product with vendor-defined permission presets. Viktor Spaces hosts internal tools a team signs into, and Viktor builds client portals as deployed web apps with database and auth on request.

The owner or account lead still reads each PDF and approves it. Read how to replace weekly reporting with AI for the Slack-side mechanics of a weekly cadence.

When do Power BI, Tableau or Domo make sense for an agency?

These platforms fit when a client already owns the licenses and asks for reports inside its own Microsoft or Salesforce tenant, or when one engagement needs row-level security modeled across many internal viewers. Pricing checked October 2026.

For twenty clients who each want a PDF and a login, Power BI below F64 and Tableau on role-based licensing bill the agency per viewer, and none of the three vendors documents an agency-specific multi-client workspace.

How do white-label, client portals and permissions compare?

Per-client access and cross-client rollups separate a shared dashboard URL from a portal you can hand a client. Role presets determine what each user can see or change:

  • AgencyAnalytics: White-label portal included on its pricing page; AgencyAnalytics client users open the Client Portal and see only the dashboards an admin assigns; roll-ups show only to Staff and Admin users with access to all Clients.
  • Databox: White-label is the $200/month add-on billed annually noted above; each client is an isolated account with its own users and data; Databox bars Viewers from client accounts; Account Performance Overviews gather every account’s top metrics.
  • Viktor: Viktor delivers each finished report for approval, and when a client asks for a live view, he builds a client portal on request.

How to switch reporting tools without losing a billing cycle

Run the switch in four steps so no client misses a report:

  1. Reconnect every data source in the new tool one full cycle before the old subscription ends. Whatever tool you use, Meta’s Insights API returns a maximum of 37 months.
  2. Use Swydo’s white-label template to rebuild templates per client against one brand kit, setting the logo, colors and fonts once.
  3. Set schedules and read the trial rules: Databox’s trial rules pause scheduled reports and notifications if no payment details are added by day 14. Its Facebook Ads tokens expire after 60 days.
  4. Run the first cycle side by side with the old tool before cancelling.

FAQ

What features should an agency look for in client reporting tools?

Use the criteria above: white-label output, native connectors, unattended scheduling, per-client logins, per-client pricing and a cross-account rollup. Then ask who writes the commentary.

Which client reporting tools offer white-label and client portals?

AgencyAnalytics includes the white-labeled portal and Client Portal logins on its pricing page. Swydo includes branded PDFs, a custom domain and a link-based portal on its one plan. DashThis’s pricing page lists white-label on all four tiers, but it has no roles. Databox charges $200/month, billed annually, for white-label. Viktor builds a client portal with its own auth on request.

Is a BI platform overkill for a marketing agency?

For multi-client PDF reporting, yes. Power BI bills each viewer below F64 capacity, Tableau Cloud licenses each user by role, and Domo publishes no price. They fit when a client owns the licenses and wants reports inside its own tenant.

Is Looker Studio enough for client reporting?

Looker Studio is enough for a handful of clients on Google data. Free allows one schedule per report at daily frequency, embeds carry the Data Studio watermark, and Meta Ads needs a partner or community connector such as Supermetrics or Porter Metrics. The assembly and the covering email stay manual.

What is the best client reporting tool for e-commerce agencies?

AgencyAnalytics lists native Shopify, WooCommerce and Amazon Ads connectors and warehouses Amazon Ads data for 60 days and Shopify for up to 730 days per its table. Swydo’s Shopify connector is in maintenance mode. For delivery, Viktor takes data from whichever tool you keep, plus Meta Ads and Google Ads, and turns it into the finished monthly PDF.
